How to Invite a Provider

Introduction

This article explains how providers and coordinators can invite another provider to share and manage participants in the MyConsumables web app. There are two ways to send a provider invitation, depending on where you start.

Before you start

  • Logged in as a Provider or Coordinator

  • At least one participant already managed

  • Stable Internet connection

Two Ways to Invite a Provider

You can invite a provider from either Provider Management or the Provider List. Both methods follow the same validation and participant‑selection flow.


Option 1: 

Best used when: You want to invite a provider quickly while browsing providers.

Step-by-Step Guide

  1. Navigate to Provider Management.

  2. Go to the Provider List page.

  3. Click Invite via Email.

  4. Enter the provider’s email address.

  5. The system validates the provider:

    • If the provider does not exist, an error is shown.

    • If valid, you will proceed to participant selection.

  6. Select one or multiple participants to share.

  7. Click Send.

Option 2: 

Best used when: You are already managing provider invitations.

Step-by-Step Guide

  1. Navigate to Provider Management from the side menu.

  2. Open the Invitation History tab.

  3. Under Sent Invitations, click Send New.

  4. Select one or multiple participants to share.

  5. Click Send Invitation.


What Happens After Sending an Invitation

  • The invitation appears in the Sent Invitations list.

  • The invited provider must accept the invitation.

  • Once accepted:

    • The provider appears in your Connected Providers list.

    • Shared participants are visible to both providers.

Important Notes

  • Only existing providers can be invited.

  • Invitations must be accepted before participants are shared.

  • Shared participant access reflects in real time after acceptance.

Tips / Best Practices

  • Invite only trusted providers.

  • Double‑check selected participants before sending.

  • Use Invitation History to track pending invites.

Troubleshooting / Common Issues

  • Cannot proceed after entering email: The provider does not exist in the system or the email is incorrect.

  • Invitation not appearing in Sent Invitations: Refresh the page and check the Invitation History tab.

  • Provider accepted but participant not visible: Refresh the participant list or allow time for data to sync.

  • Incorrect participants shared: Removed the participant and send a new invitation with the correct participant selection.
