Order Management Overview

Introduction

This article provides an overview of the Order Management page for providers and coordinators in the MyConsumables web app. Order Management allows you to view, manage, and take action on participant orders in one central place.

Before you start

  • Logged in as a Provider or Coordinator

  • At least one participant linked to your account

  • Must have a stable Internet connection

Accessing Order Management

  1. Log in to the MyConsumables web app.

  2. From the side menu, click Order Management.

You will be taken to the Order Management page where all participant orders are displayed.

What You Can Do in Order Management

View Orders

  • View all participant orders in one list.

  • Click an order to open and review order details.

Order More Consumables

  • Click Order More Consumables to place additional orders.

  • You will be redirected to the Marketplace to continue ordering.

View Scheduled Orders

  • Access Scheduled Orders directly from Order Management.

  • Review and manage recurring orders for participants.

Filter Orders by Status

  • Use the status filter buttons to view orders by status (e.g. processing, out for delivery, delivered).

  • This helps you focus on orders that require action.

Search Orders

  • Search by participant name to quickly find specific participant orders.

  • Search by product name to locate orders containing a specific item.

Manage Orders

From Order Management, providers and coordinators can:

  • Request to cancel an order while it is still in progress.

  • Reject an order when applicable and the order has not been completed.

Mark Orders as Received

  • When an order status is Out for Delivery, Delivered, or Collected, you can click Received.

  • Marking an order as received will complete the order process for the participant.

Tips / Best Practices

  • Use filters and search to manage large numbers of orders efficiently.

  • Mark orders as Received promptly to ensure accurate budget and stock updates.

  • Review in-progress orders regularly to catch issues early.

Troubleshooting / Common Issues

  • Order not visible: Refresh the page or check filter settings.

  • Action not available: Some actions depend on the current order status.

  • Received button not showing: Ensure the order status is eligible (Out for Delivery, Delivered, or Collected).
