View Participant Insights

Introduction

This article explains how providers and coordinators can view Participant Insights in the MyConsumables web app. Insights provide a clear overview of a participant’s budget usage, spending trends, and completed orders to help with monitoring and planning.

Before you start

  • Logged in as a Provider or Coordinator

  • At least one participant linked to your account

  • Must have a stable Internet connection

  • Already had a completed orders 

Accessing Participant Insights

  1. Log in to the MyConsumables web app.

  2. From the side menu, click Insights.

  3. You will see a list of participants connected to your account.

Participant Listing in Insights

On the Insights listing page, you can:

  • View all connected participants

  • Search participants by name or NDIS number

  • Filter participants by:

    • NDIS

    • SAH

    • All

Click View Insights on a participant to open their detailed insights page.

What You Can See in Participant Insights

Budget Overview

  • Annual Budget – Set to 0 by default. You must enter an annual budget to enable calculations.

  • Max Monthly Budget – Automatically calculated based on the annual budget.

  • This Month’s Total Expenses – Automatically calculated when an order is Completed for the current month.

Spending Graph

  • A bar graph showing monthly spending.

  • Hovering over a bar displays:

    • Monthly spending

    • Forecasted spending (calculated from previous months)

    • Max monthly budget

  • Line graph are color‑coded to make comparison easier.

Completed Orders & Products

  • Displays a list of products from completed orders for the participant.

  • Helps identify frequently purchased or high‑spend items.

Download Participant Insights

  • Click Download Insights to generate a PDF report.

  • The PDF includes all details shown on the participant’s insights page, including budget, spending graphs, and product lists.

Tips / Best Practices

  • Set the annual budget as early as possible for accurate insights.

  • Review insights regularly to spot spending trends.

  • Use the forecasted spending to plan ahead and prevent overspending.

  • Download insights for reporting or sharing purposes.

Troubleshooting / Common Issues

  • Insights showing zero values: Ensure the annual budget is set and orders are marked as Received.

  • Graph not updating: Refresh the page or confirm recent orders were completed.

  • PDF not downloading: Check your browser download settings and try again.
